This Privacy Policy explains how Arbitexia Limited (“Arbitexia”, “we”, “us”) collects, uses, and protects personal information when you visit our website, inquire about our services, or use related systems we operate.
Who is responsible
Arbitexia Limited is responsible for the personal data described in this policy. We are based at Suite C, Level 7, World Trust Tower, 50 Stanley Street, Central, Hong Kong.
Privacy questions: info@arbitexia.com or +852 5509 2827.
Our services context
Arbitexia provides software engineering and digital solutions, web and SaaS platform development, AI-powered solutions, business automation, system modernization and integration, technology consulting, and continuous delivery support. Supporting work may include product design and UX, cloud and infrastructure, and data and analytics.
We also operate internal workspace systems such as CRM outreach, job-search operations, plans, partners, teammates, finance, and support boards for authorized users.
This policy covers the marketing Site and related communications. When we process personal data on behalf of a client inside a delivered product, that processing is primarily governed by the client agreement and, where applicable, a data processing addendum - not only this public policy.
Information we collect
Contact and inquiry data: name, email, subject, and message when you use the contact form or email us about cooperation or a project (including product, modernization, automation, AI, consulting, or platform discussions).
Business context you choose to share: company name, role, product goals, or technical requirements included in an inquiry or discovery discussion.
Account data: if you use employee or authorized client portals, information needed to authenticate and operate your account (such as email, display name, and role).
Technical data: browser type, pages viewed, approximate location derived from IP, and diagnostic logs needed to keep the Site secure and reliable.
Cookies and similar technologies: as described in our Cookie Policy (including essential session cookies and optional analytics where used).
We do not intentionally collect sensitive personal data through the marketing Site. Please avoid sending passwords, payment card numbers, or unnecessary sensitive details in contact messages.
How we use information
Respond to cooperation requests, schedule discovery conversations, and prepare proposals for the services listed above.
Operate, secure, and improve the Site and related products (including internal CRM, job-search operations, finance, or support tools where you have authorized access).
Communicate about services, project next steps, security notices, and administrative updates.
Comply with legal obligations and protect against misuse, fraud, or unauthorized access.
Legal bases (where applicable)
Depending on your location and the context, we process data based on: your consent (for example optional analytics cookies); steps prior to entering a contract (responding to a proposal or SOW request); performance of a contract when you engage us; our legitimate interests in running a secure business website and delivering professional services; and legal obligations.
Sharing
We do not sell personal information.
We may share information with trusted service providers who help host the Site, send email, provide maps embeds, analytics, authentication, cloud hosting, or collaboration tools - only as needed to provide those services and under appropriate safeguards.
For client engagements, project communications may involve subcontractors or specialists we engage under confidentiality obligations, as disclosed or permitted in the engagement agreement.
We may disclose information when required by law or to protect the rights, safety, and security of Arbitexia, our clients, or the public.
International transfers
Arbitexia is based in Hong Kong. Service providers and collaboration tools may process data in other jurisdictions. Where required, we take steps to ensure appropriate protection for cross-border transfers.
Retention
We keep contact inquiries for as long as needed to respond and maintain a reasonable business record, then delete or anonymize them unless a longer period is required for legal, accounting, or contractual reasons.
Proposal and engagement records are retained according to the relevant agreement and our business retention practices.
Account and operational data for products we run for employees or clients are retained according to the relevant engagement and security policies.
Your choices and rights
Depending on applicable law, you may request access, correction, deletion, or restriction of personal information we hold about you, or object to certain processing.
To make a request, email info@arbitexia.com. We may need to verify your identity before responding.
You can control many cookies through your browser; see our Cookie Policy for details.
Security
We use administrative and technical measures appropriate to the nature of the data we handle - including access controls for employee systems and care when handling client project information.
No method of transmission or storage is completely secure. Use strong unique passwords for any accounts we provide, and do not share credentials in contact forms.
Children
The Site and our services are directed at businesses and professionals. We do not knowingly collect personal information from children.
Changes
We may update this Privacy Policy when our services or practices change. The “Last updated” date will change when we publish revisions.
